Clear for Inspection: One Shop's Path to FAA-Ready Records

The Challenge

Like many general aviation maintenance shops, Casper Air Service relied on a mix of Word documents and Excel spreadsheets to manage maintenance records, work orders, and logbook entries. That approach made it difficult to quickly access accurate, up-to-date information.

“It was tough,” recalls Rusty Hessler, Director of Maintenance at Casper Air Service. “Most of our aircraft owners would come in with their notebooks and expect us to dig through their logbooks and make notes. We’d have to dig through their file and hope we still had a Word document from the last time we worked on their aircraft.”

The Solution

The need for faster access to accurate maintenance history pushed Casper Air Service to explore digital tools designed specifically for avaiation maintenance. “Once AD Toolbox started coming around, that got us in the door for quicker AD research,” Hessler says. “Now, with the merger of AD Toolbox and Tdata to form TBX, we can do everything—pull up log entries and work orders so we know exactly what we did last time, which is a lifesaver.”

TBX also simplified how Casper Air Service manages daily work. “The TBX platform is great,” Hessler says. “I can input a new customer and have them up and running in about five minutes—maybe less. It’s super easy and intuitive.”

Work orders and invoicing are a part of Hessler’s daily routine. “We support maintenance for SkyWest, so every morning we’re logging maintenance events. I’m creating work orders and invoices constantly—at least three every day. I just put in the tail number and it’s done.”

Confidence in AD accuracy has been critical. “I don’t want to get caught missing an AD,” Hessler says. “Occasionally, I check TBX against the FAA, and it always matches. That gives me confidence that the AD list I print is current.”

Equally important has been the level of support from the TBX team. “When we have a question or concern, we send the TBX team a message and get a response pretty quick,” Hessler says. “That’s huge on our end and drives a lot of our interaction.”

TBX was easy for the Casper Air Service team to adopt, with Hessler guiding the rollout internally. “Once I gave the team a couple of pointers, they picked it right up. It wasn’t hard to learn,” Hessler says.

The Results

With TBX in place, Casper Air Service has significantly improved how maintenance is tracked. “I can pull up an aircraft profile and know exactly what we did last year on the annual,” Hessler says. “If there wasa crack or corrosion noted, I can see it and check it again. I don’t have to remember odd items from the year before.”

TBX has also changed how Casper Air Service interacts with FAA inspectors, giving the team confidence during audits and inspections. “Our FAA reps come in all the time, and they’re very excited that we’re using TBX,”Hessler says. “I can pull up a tail number and immediately see 337s, ADs, eight and balances, and even recreate the logbooks. They were ecstatic that we’re doing this and have said they wish more shops were using TBX.”

That consistency has made a noticeable difference during inspections. “Most shops are still using Word documents, and their sign-offs are iffy at best,” Hessler adds. “With TBX, the sign-offs come out the same every time. It’s exactly what the FAA wants to see.”

For Hessler, the biggest outcome is how much easier TBX makes running both the business and the maintenance operation. “TBX will make your life easier, all the way around. The management of the business, the management of the aircraft, it’s very straightforward.”

That clarity benefits everyone involved. “The information is easy for accountants, easy for owners, and the FAA looks at our entries and says, ‘Yes, these are clear.’ If it keeps the FAA and the accountant happy, my world gets a lot easier,” Hessler says.

Ultimately, TBX has helped Casper Air Service present a more professional operation. “I want our service to stand out, and that’s possible because of TBX. You’ve got a good product, it’s super easy to get in, take care of business, and get things set up.”
